 Action Description  Forms 
One-time payments to exempt staff  This occurs when an exempt employee is going to receive payment for an appropriate reason (see the Dual Employment/Multiple Jobs and Pay Practices polices to determine what is appropriate). 
  • Position Control number should be the letter G and first four letters of the budget from which the funds will be taken for the Position Control number 
One-time payments to non-exempt staff   

 

Change in full-time equivalency This action is taken when an employee is either increasing or decreasing the number of hours they will be working for a specific position. 
Change in funding source  This action is taken when the source from which a position is being funded will be changed.
  • Completed  Personnel Action Form 
  • Or Corrected Time Allocation Report which is distributed and maintained by the Payroll office
H-1B Visa & University Sponsored Permanent Residency

Details regarding sponsoring an individual employee for an H-1B visa or University sponsored Permanent Residency, are available in the  H-1B -- PERM Online Manual

US Citizens and resident alien guest speakers  This action is taken when Rice will be paying an honorarium to an individual who is a resident alien and is not employed by Rice.
  • Check Request Form sent to Payment Solutions 

Foreign guest speakers on
a B-1 or W-B visa

This action is taken when Rice will be paying an honorarium to an individual who is on a B-1 or W-B visa and is not employed by Rice.
  • Travel Expense Form with appropriate documentation submitted to the Controller's Office

Foreign guest speakers on a J-1 visa

This action is taken when Rice will be paying an honorarium and/or travel expenses to an individual who is a guest speaker and has a J-1 visa.
  • Check Request Form with appropriate documentation sent to Payment Solutions
  • Travel Expense Form with appropriate documentation submitted to the Controller's Office
